The Business Was Growing. Its Processes Weren't.

How a fresh perspective and one practical improvement helped a growing company work faster, with less friction.

Tomasz Gajek

01.

A fresh perspective

Business owners rarely lack ideas. What they often lack is the time and distance to see their company from the outside. And spot the everyday routines that quietly slow things down.

That's where I come in.

My recent work with a Kraków-based B2B textile supplier shows how a fresh perspective can turn a familiar frustration into a real opportunity for improvement.

02.

Finding the bottleneck

I started by understanding how the business actually worked: how orders came in, how people communicated, and where information and decisions got stuck.

One process stood out: preparing customer quotes.

It was central to sales, yet relied on spreadsheets, scattered documents and the knowledge of a few key employees. Quotes took too long, results varied, and the process couldn't keep pace with the company's growth.

What seemed like “just the way we do things” was actually an opportunity to work much smarter.

03.

The right solution

Once the process was identified, I looked at the options. Depending on the situation, the right answer to a problem like this can be a clearer procedure, a different division of responsibilities, a new hire, or a digital tool.In this case, I recommended a simple application built on software the company was already paying for.

It would capture the company's pricing knowledge in one place and let the team prepare professional quotes in minutes, without paying for new systems or starting a large IT project to design everything from scratch and affect the company operations for months to come.

No expensive new systems. No months-long IT project. Just a solution that fit the business.

04.

Making it work

A good recommendation is only valuable when it works in practice.

That's why I stayed involved from the initial analysis through implementation and handover.

No expensive new systems. No months-long IT project.

Every company has processes that could work better.

Mapped the process

Mapped the process in detail, including the rules, the exceptions and the people involved, so that the change would reflect how the business really worked.

Kept business running

Prepared the change without disrupting operations. The team kept working as usual until there was something concrete to try and use.

Involved the team

Involved the people who would live with it. Early and frequent demos with the team turned their feedback into a clear list of findings, improvements and suggestions. The team was a part of the solution, not only the consumer of it.

Handed over ownership

The company received the solution on its own accounts, with clear roles, documentation and no dependence on me, while I remained available as a partner for what came next.

The result

Quoting is now faster, consistent across the team and no longer dependent on individual people. The team adopted the change quickly, because they helped shape it and it was indeed their solution. The owners gained something just as valuable: a clear view of how one well-chosen improvement can make the whole company run better.

Success

Faster quotes.
Consistent results.
Less friction.

Every business has a process like this, something important that runs on habit, spreadsheets and goodwill. As your consultant, I:

  • Look at your operations with the eye of someone experienced in process automation and digitalization
  • Identify where a change will bring the most value
  • Recommend the solution that fits, whether it’s a tool, a new way of working or a new role
  • Put it into practice together with your team, and make sure it lasts
My job isn't to sell you software. It's to find what's slowing your business down and make sure it gets fixed, in the way that works best for your company.
